Position Summary:

Under general supervision of Executive Assistant, performs a multitude of tasks involving the safety and security of the facility; performs routine and standardized duties involving choices of action within the limits as established and defined by state, federal, and local policy, and procedures.

Major Duties:

• Responsible for filling out forms and maintaining files. • Preparing Monthly reports for facility to include inmate deaths, monthly arrest by agencies, statistical tracking for Annual Survey for Jails. • Reviewing Shift packets, to obtain information for various reports. • Scanning inmate files into system for legal purposes. • Entering data in department system. • Maintaining, pulling, and distributing archived files for legal entities. • Expunging adult arrest records per court orders, through Spillman per state/federal requirements. • Assist Team (s) with meal relief and back-up personnel for Central Control, Lobby & Booking Area as needed. • Creating and developing forms for tracking inmate worker’s hours. • Assist with monitoring Central Control Cameras. • Assist with visual security for officers entering and exiting units. • Assist with Video Visitation scheduling. • Assist with Inventorying, tagging, and securing of inmate property. • Assist with mail pick-up and drop off, sorting and distributing and scanning mail when needed. • Performs general clerical duties as needed. • Inspects items brought into the Detention Center to ensure that contraband does not enter the facility. • Observes and controls visitors during and after video visitation as needed. • Communicate effectively with other staff with approved facility communication devices including telephone system, intercom system, and portable or base radios, while demonstrating effective communicative skills with public and staff. • On-call 24/7 to assist as back-up personnel. • Operates a personal computer, general office equipment, or other equipment as necessary to complete essential functions, to include the use of word processing, spreadsheet, database, e-mail, Internet, or other computer programs; performs basic maintenance of computer systems and office equipment, such as backing up data or replacing paper, ink, or toner. • Maintains file system of various files/records for the department; prepares files, organizes documentation, and files documents in designated order; retrieves/replaces files; shreds/destroys confidential or obsolete documents to coincide with 10-year record requirements. • Communicates with supervisor, employees, other departments, government agencies, attorneys, financial institutions, the public, outside agencies, and other individuals as needed to coordinate work activities, review status of work, exchange information, or resolve problems. • Maintains a current knowledge of applicable laws/regulations, reads professional literature, attends workshops and training sessions as appropriate. • Employees shall comply with all Employer policies, procedures, rules, and regulations, both written and oral, as are announced by the Employer or Designee from time to time. • Any other duties assigned by Immediate Supervisor or Designee that may outline as part of your job description.

Knowledge Required:

• Must have High school diploma or GED; and or currently enrolled in a college level course or vocational training focusing on criminal justice, office administration and personal computer operations. • Must within 4 months of hire complete and obtain Homeland Security Training Series 700/750/800 and Security Awareness. Must be able to multitask and be very detailed.

Physical Demands:

Tasks require the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds). Tasks may involve extended periods of time at a keyboard or workstation.

WorkEnvironment:

Performance of essential functions may require exposure to adverse environmental conditions, such as odors, violence, or rude/irate individuals.
